Outsourced bookkeeping

All businesses, big and small, need an accurate bookkeeping system. It is an essential cost of doing business but bookkeeping is a time consuming and tedious task and unless you know what you are doing or have the time to do it properly, errors, mistakes and miscalculations will creep in. This can be tremendously costly to the business.

For small businesses in particular time spent on maintaining the books is time not spent on building customer relationships or on building and delivering business growth. To stay competitive businesses need to focus on those tasks where they can create value and offload tasks that can be done more cost effectively and more efficiently elsewhere.

Nowhere is this more true than bookkeeping and adopting a strategy to move a business`s bookkeeping processes from in house to an outsourced provider is a giant step towards freeing up valuable time to focus on what any business should be doing well-spending time with customers. Time spent on doing the books adds little or no value to your customer relationships yet books that are inaccurate or do not reflect the true state of the business are pretty useless in helping managers and owners manage the business.

For small businesses, especially, outsourcing bookkeeping is a no brainer.

It should already be clear that bookkeeping mistakes can be expensive to any business and using a professional bookkeeper will result in more accurate record keeping and therefore provide increased management control of the business.

Yet professional bookkeepers can be expensive and an outsourced service can be a significantly cheaper option than managing the books in house. It is estimated that overall annual savings of up to 50% can be achieved.

Hiring, training and keeping an accountant or bookkeeper on the payroll is not cheap. And these roles are non value creating. Nor may you be able to justify this resource on a permanent and full time basis. Using an outsourced service should offer the opportunity to save costs and improve flexibility allowing you to adjust bookkeeping capability quickly as business contracts and expands.

Businesses also need to consider the cost of specialised software to ensure the accuracy and quality of their bookkeeping. The cost of purchasing, maintaining and training in house people on the latest software can be substantial. Outsourced companies with their economies of scale can provide access to the latest software and improved management information at a fraction of the cost of this being done in house.

Outsourcing also provides back up. Given how important the provision of accurate information is to any business, consider what might happen should the bookkeeper go off sick. Where is the back up? And not only are the people backed up but the data too meaning that should disaster strike the data is recoverable and accessible and business performance is not threatened. An outsourced service immediately gives you a high level of back up and contingency.

The decision to outsource is an easy one. If there is a company or an individual able to do something you do better, faster and cheaper than your business can, why would you want to keep doing it in house?

As more and more businesses learn the importance of accurate bookkeeping and the advantages of outsourcing this key business process, there are increasing opportunities for trained bookkeepers to offer an outsourced service. home learning bookkeeping and accounting courses can help provide the training required to qualify as a bookkeeping professional and to take advantage of these opportunities
